Principal Accountabilities:
- Correspond with internal business divisions/departments on behalf of the business head, following up on various projects when necessary.
- Receive and screen phone calls, redirecting them as appropriate, and relaying messages when required.
- Handle and prioritize all outgoing and incoming correspondence (e.g., emails, letters, packages), ensuring confidentiality and timely delivery to the intended recipients.
- Prepare agendas and make arrangements for meetings, recording accurate Minutes of Meetings (MOM) as and when needed.
- Provide periodic reporting on administrative matters to regional and circle levels.
- Manage travel arrangements, including e-tickets, visas, and hotel bookings. Prepare itineraries, maintain travel vouchers and records.
- Efficiently plan and maintain monthly and weekly calendars of appointments. Introduce new administrative procedures as necessary.
- Coordinate video/audio meetings with relevant personnel.
- Welcome visitors and assess their access to specific individuals.
Knowledge and Experience for Executive Secretary:
- Graduate/Masters with a related discipline from a recognized College/University.
- Excellent communication and interpersonal skills.
- Proficiency in multitasking and working under pressure.
